These beta-version terms describe the current beta/pilot use of Pay Me Bro and the public website.
Beta version. These terms apply during Pay Me Bro beta/pilot use and may be updated before general availability or before any paid commercial terms apply.
1. Operator and ownership
Pay Me Bro is workflow software owned and operated by TEC LABS (Pty) Ltd, registration / enterprise number 2026/193764/07. The platform, its design, source code, data structures, workflows, documentation, and public website are the intellectual property of TEC LABS (Pty) Ltd unless another source is expressly credited.
2. Beta / pilot status
Pay Me Bro is currently in beta/pilot use with participating schools. The service may change as school workflows improve. Future commercial use may move to paid terms, school agreements, or formal commercial terms. Users and participating schools should be notified before paid or commercial terms apply.
3. Service scope
Pay Me Bro helps participating schools collect, review, approve, reject, export, and hand off student timesheet submissions. The service also supports workflow reminders, generated timesheet PDFs, document history, and processing visibility where configured.
Pay Me Bro is software used to record workflow actions. Approval, rejection, processing, export, or archive markers in Pay Me Bro are workflow records only. Those markers are not proof that a student is eligible for payment, that payroll has been completed, or that funds have been transferred.
4. How payment and payroll are handled
Pay Me Bro does not handle payroll funds, guarantee payment, verify payment, or verify that a student has been paid. Pay Me Bro and TEC LABS (Pty) Ltd do not execute payment, decide who is eligible to be paid, set school payment policy, or handle finance processing.
Payment queries, payment timing, payroll disputes, and finance processing decisions must be raised with the relevant school administrator, institution, finance office, or payment authority.
5. Relationship with schools and institutions
Pay Me Bro is an independent SaaS workflow service operated by TEC LABS (Pty) Ltd and made available to participating schools for administrative workflow use. The service operates on its own infrastructure. School-level use of Pay Me Bro does not make TEC LABS (Pty) Ltd an employer, payroll payer, bank, finance office, university ICT system, or payment authority.
6. User responsibility
Users are responsible for the accuracy and completeness of information they submit through Pay Me Bro. False, misleading, or fraudulent information may be handled under applicable school rules, university rules, or South African law. Pay Me Bro does not provide financial, tax, payroll, or legal advice.
7. Public website
The public website provides product information, onboarding guidance, public documents, and contact routes. Public website content may be updated as the product and pilot use develop. Public pages must not be treated as private contracts, payroll instructions, payment confirmations, or legal advice.
8. Service availability
The beta service is provided without a guaranteed service level. TEC LABS (Pty) Ltd may modify, suspend, or discontinue the service where needed, with reasonable notice where possible.
9. Limitation of liability
To the fullest extent permitted by applicable law, TEC LABS (Pty) Ltd shall not be liable for direct, indirect, incidental, or consequential loss or damage arising from use of, or inability to use, Pay Me Bro. Covered examples include missed submission deadlines, delayed payment, non-payment, payroll disputes, finance processing decisions made outside the platform, or inaccurate information entered by users.
10. Privacy and personal data
The collection and processing of personal information through Pay Me Bro is governed by the Protection of Personal Information Act, 4 of 2013 (POPIA). The public POPIA Privacy Notice explains the main categories of personal information, processing purposes, data subject rights, and contact route.
Pay Me Bro is designed and operated to support compliance with POPIA and applicable South African record-keeping requirements. This describes the service's design and operating approach; it is not an unconditional guarantee of legal compliance. Using Pay Me Bro does not automatically satisfy each participating school's obligations.
11. Records, retention, and school responsibilities
Pay Me Bro retains date, time, school, lecturer, approval, processing, and audit information to operate the timesheet workflow, preserve an accountable history, support payroll and reporting hand-offs, resolve disputes, and meet applicable record-keeping requirements.
Official submitted, approved, rejected, processed, payroll-linked, and associated audit records are retained for at least five years after finalisation or the applicable payroll/reporting close, whichever is later.
Abandoned drafts are eligible for deletion 90 days after their last update. Synthetic and test fixtures are removed immediately after verified test completion unless a legal hold, investigation, dispute, audit, or other lawful-retention requirement requires preservation. A legal hold, investigation, dispute, or audit suspends any deletion, including test-fixture cleanup, until the hold or proceeding is released or concluded.
Sensitive payroll or motivation documents follow an explicitly classified retention schedule; deletion is not inferred from timesheet age.
You may request access to or correction of your personal information, and may request deletion where permitted. A deletion request may be limited or delayed while lawful retention applies.
Participating schools retain their own legal and record-keeping responsibilities, including responsibilities for payroll, employment, tax, institutional, and source records outside Pay Me Bro.
12. Support
Technical support for Pay Me Bro is provided by TEC LABS (Pty) Ltd through the support routes shared with participating schools. Public website or onboarding queries can be sent to hello@teclabs.co.za.
